Office Policies

Scheduling

At Cambridge Pediatric Dental associates, we make our best efforts to accommodate our patients when scheduling appointments. Over our vast experience and history as an office, we have seen greater success with children age nine and under, or children with extensive dental needs, with morning appointment times. While some appointments may require your child to miss school, it is an excused absence, and we will provide you with a letter if necessary. With continued and regular care, dental visits during school can be kept to a minimum.

For each visit, we ask you to arrive a few minutes early to complete check-in and ensure paperwork is complete. Prior to your appointment all medical history, insurance and financial and informed consent updates will be sent to the contact information on-file. To ensure no delays to the patient’s appointment time, please complete these prior to your child’s appointment. If your child has been referred or you are transferring to the practice, we ask that you send any records and referrals prior to the appointment so our doctors may review the records. It is also helpful to share your insurance information ahead of time.

Late Policy

Your child’s appointment time is specially reserved to ensure we can provide the focused, personalized care they deserve. As a courtesy to all of our families, we kindly ask that you arrive on time for your scheduled visit. If you’re running late, giving us a call can help us better prepare—but please note that it does not change our late arrival policy. While we’ll always do our best to accommodate late arrivals without impacting other scheduled patients, if you arrive more than 10 minutes past your appointment time, we may need to reschedule in order to give your child the time and attention their care requires. Our goal is always to see your child at their scheduled time; however, there are occasions when treatment takes longer than expected or an emergency arises. When that happens, we appreciate your patience and understanding—we dedicate the time needed for each child’s care, and we will do the same for your child when they need it most.

Cancellation Policy

At Cambridge Pediatric Dental Associates, your child’s appointment time is specially reserved just for them. We do our best to confirm appointments 48 business hours in advance via email, text, and phone, and we kindly ask that you confirm your child’s visit through our automated text or email system. This helps us keep our schedule running smoothly and ensures that every child receives the care they need in a timely manner.

We understand that sometimes unexpected things come up. If you need to cancel or reschedule an appointment, we simply ask for at least 48 business hours’ notice. This allows us enough time to offer that appointment slot to another child who may be waiting for care.

If an appointment is missed or canceled with less than 48 business hours’ notice, we’ll provide a friendly reminder of our policy. If it happens a second time, a $75 fee will be applied per missed appointment. For example, if appointments for three children are missed, the total charge will be $225. If an appointment is missed entirely without notice, a $100 no-show fee will be added to your account.

To ensure fair access to care for all families, multiple last-minute cancellations or missed appointments may lead to scheduling restrictions, such as limiting the number of siblings seen at the same time. In some cases, families may be placed on our same-day cancellation list or, if necessary, dismissed from the practice.

Treatment Policy

At Cambridge Pediatric Dental Associates, we take great pride in our prevention centric, education focused, systemic, and minimalistic approach to your child’s dental health—and we rely on your partnership to help keep their smile healthy and strong. Regular comprehensive care visits allow us to monitor your child’s growth and development, detect any changes early, and support a lifetime of healthy habits. Periodic, thorough evaluations of the entire mouth are essential for identifying issues such as tooth decay, infection, impacted teeth, or other concerns that may not be visible without a clinical and radiographic exam. When treatment is recommended, it’s because our doctors have thoughtfully reviewed your child’s needs with the goal of protecting their long-term oral health. We treatment plan for all of our patients envisioning them as a part of our own family, so treatment options are not presented lightly. Delaying treatment can allow problems to progress, often leading to greater discomfort, more complex care, and higher costs. That’s why we aim to schedule and complete all recommended treatment in a timely manner—ideally before your child’s next routine visit—so we can continue building a strong foundation for their healthiest, happiest smile.

Insurance Information

At Cambridge Pediatric Dental Associates, we’re committed to providing exceptional care and understand that you are investing in your child’s health and well-being when you come to see us. We value this important investment and want to give you as many options as possible for planning and financing treatment. We ask that you provide your insurance information when scheduling your child’s first visit and bring your insurance card to the appointment. Our team will do their best to verify coverage and submit claims on your behalf. Please keep in mind that families are responsible for any portion not covered by insurance. Once treatment is planned, you may request an estimate based on the information available from your provider and to submit a pretreatment estimate to your insurance. For all insurance, in and out of network, we strongly recommend and urge families to contact their insurer for the best and most accurate breakdown of their coverage. After your insurance processes the claim, any remaining balance will be billed to you. If there’s an overpayment, we’ll gladly issue a refund or apply the credit to future visits. If your insurance changes at any time, please let us know so we can update your information and avoid delays in coverage. With constant changes and thousands of individual plans, our small business is unable to stay abreast of everyone’s individual insurance information, but we will do our best to work with families to understand their coverage.

Payment

Payment is required at the time service is rendered. For your convenience we accept most major credit and debit cards including Visa, MasterCard, American Express, and Discover as well as online payment options. We also accept check or ACH payments.

Emergencies

We try our best to quickly schedule new or established patients with emergencies. Please note that if further care is required, we may have to reappoint your child to return for treatment at the next available appointment.
